Terms and Conditions

These terms and conditions constitute a legally binding contract between you and My Everest Trip. You must read them carefully and understand them before booking your trip with My Everest Trip.

Booking and Payments 

For My Everest Trip to process a booking, you must send a completed booking form with a deposit, 30% of which is non-refundable. Payment of your deposit constitutes acceptance of these terms and conditions. To complete the booking, we require that you send a copy of your passport by fax or email to our Kathmandu office at +977 9851069558 or [email protected]. Upon receipt of the booking form, deposit, and photocopy of your passport, we will send you a final confirmation receipt.

About making a payment, please contact us directly for the relevant details. A bank service charge may apply and should be paid at the time of deposit. If you wish to pay by credit card, please contact us. We only accept Visa, MasterCard, and American Express. Book a trip Without a credit card fee

The remaining balance is payable upon arrival in Nepal. For trips to India, your balance should be paid a minimum of 15 days before the departure date. We reserve the right to cancel your trip should you fail to pay the full amount on time.

We will only accept last-minute bookings 10 days before the tour departure date, permitting there to be space available.

NEPAL CANCELLATION & BOOKING CHANGES

If you wish to cancel your trip, a notice has required a minimum of  21 days before departure and must be made in writing. The notice will commence from the day it is received. Cancellation of a trip is only valid with approval from My Everest Trip after receiving the correct documentation. Upon cancellation, My Everest Trip will retain 30% of the deposit. There will be no refund for customers who; wish to cancel but provide less than 15 days’ notice, leave a trip for any reason, or if you commit any unlawful act after the trip has commenced. We will make no refunds for any meals, accommodation, or other services that are not used.

If you have genuine reasons for being unable to go on the trip i.e. because of death, injury, or a serious illness – of yourself, a relative or friend, redundancy, or jury service – you may postpone or transfer the booking to another person, provided they meet all the requirements related to the respective tour. You must be able to provide proof as to why you are unable to travel. A fee of $200 US per person is required if you postpone or transfer this tour no less than 20 days before trip departure. You are unable to change your trip if you notify us less than 20 days before departure.

For Nepal visa

All customers must have a valid passport with at least 6 months of validity from the return date. You can obtain a visa from the Nepalese Consulate in your country or on arrival at Kathmandu Airport. Visa costs are the sole responsibility of the customer. About a visa for India, please contact the Indian embassy in your resident country. There are on-arrival visa facilities for an Indian visa.

BHUTAN TRIP BOOKINGS AND PAYMENTS

To process a booking you must send a completed booking form with a 50% non-refundable deposit. We require you to fax or email a copy of your passport to our Kathmandu office at +977 1 4259098 or [email protected]. Upon receipt of your passport, completed booking form, and non-refundable deposit, we will send you a final confirmation receipt.

All payments due are per person per trip. Please contact us regarding making a direct payment. A bank service charge may apply and should be paid at the time of deposit.

The remaining balance should be paid a minimum of 15 days before the trip departure. We also reserve the right to cancel your trip should the full amount not be paid in time. For Credit Card payment please contact us. We only accept Visa, Master Card, and American Express. Book a trip Without a credit card fee.

Where possible we will accept your last-minute booking 15 days before the tour departure date, full payment is then required.

BHUTAN CANCELLATION & BOOKING CHANGES

Cancellation notice has required a minimum of 30 days before trip departure and must be made in writing. The notice commences from the day it is received. Cancellation shall be valid with approval from My Everest Trip after receiving the documentation. The Trip shall then be deemed canceled and the 50% deposit will be retained as a cancellation charge. There will be no refund for customers who; wish to cancel but provide less than 30 days’ notice, leave a trip for any reason, or if you commit any unlawful act after the trip has commenced. We will make no refunds for any meals, accommodation, or other services that are not used.

If you require changes to your original tour, the person that made the booking must submit a written document with the requested changes. While we will do our best to accommodate your request but we can’t guarantee we will be able to fulfill the changes.

If you are prevented from traveling on the tour, unfortunately, there are no refund, transfer, or postponement options available as per the strict tourism policies of the Bhutanese government.

For BHUTAN VISAS

All clients must have a valid passport with at least 6 months of validity from the return date. As you are unable to obtain visas to Bhutan you need to send your passport details to My Everest Trip for visa applications for this country, we require this information at least 30 days before departure.

TIBET BOOKINGS & PAYMENTS

To process a Booking you must send us a completed booking form with a 50% non-refundable deposit for all trips to Tibet. We require you to fax or e-mail a copy of your passport to our Kathmandu office at +977 1 4259098 or [email protected]. After receiving a copy of your passport and the completed booking form with your non-refundable deposit we will send you a final confirmation receipt.

TRAVEL INSURANCE

Travel insurance is compulsory for all customers undertaking any tour. It should provide adequate protection for the full duration of the tour to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance, and adequate cover for baggage.

Please don’t hesitate to contact us for recommendations on travel insurers.

HEALTH & FITNESS 

All our tours and treks require a degree of fitness, therefore you should always check with your local GP regarding your health and fitness before you travel. It’s the customer’s responsibility to notify My Everest Trip of any pre-existing medical condition and/or disability that may increase the risk of affecting your ability to travel/ the need for medical attention.

CHILDREN

A legal guardian must accompany all travelers under the age of 16. If you have any more questions regarding age suitability. Please contact us.

PUBLICITY

My Everest Trip reserves the right to use images of you taken during the trip without recourse or compensation to you, for publicity and promotion purposes.

CHANGES TO YOUR TRIP AND PRICE DUE TO NATURAL DISASTERS, FLIGHT DELAYS, ETC

Traveling with My Everest Trip requires a degree of flexibility, good humor, and an understanding as unforeseen changes to the itinerary, modes of transportation, and accommodation can occur at any time. Changes can also result in the cancellation or postponement of the trip. Such changes happen due to unpredictable circumstances such as flight delays, political unrest, bad weather, road blockage, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc.), or other things beyond our control.

When such situations occur, the above-mentioned cancellation and booking changes policy doesn’t apply. In other words, there will be no refund of the amount you have paid to us. And any extra cost that occurred shall be borne by the customer. We aren’t responsible for the loss of employment, injury, illness, and loss of life resulting in situations beyond our control. However, we will do everything we can to ensure that you’re safe.

And in the event of cancellation of the booked trip due to reasons out of our control, you are free to reschedule your trip or take an alternative trip of the same category. While rescheduling the trip, you will receive the full credit from your previously booked trip, and you will only pay the difference amount between old and new prices if the price increases for the rescheduled departure.

Furthermore, a single-room supplement charge will be imposed on the clients who don’t have another tour participant to share accommodation with. Our trip packages are based on twin-sharing accommodation. And we reserve the right to revise pricing rates posted in our marketing material under any circumstances or under the pressure of various external factors like changes in the exchange rate, government action, and any other factors that are out of our control.

PRIVACY

No private or personal information that you supply to us when making a booking will be disclosed for any other purposes except for obtaining permits and making necessary bookings.

RISK & LIABILITIES

We are committed to providing the best services with the utmost professionalism. We perform our duties honestly and seriously to achieve that commitment.

My Everest Trip and its affiliates shall not be responsible for any changes in the itinerary due to unavoidable circumstances such as government restriction, bad weather, road blockage, political unrest, cancellation of flight, delay, sickness or accident, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc) or other things beyond our control. We take your safety seriously and we do everything we can to ensure the safety of our customers. Any extra cost incurred thereof shall be borne by the clients on the spot.

OUR RESPONSIBLE TOURISM POLICY

My Everest Trek is re-inventing tourism for the benefit of local people, tourists, the environment, and the tourism industry at large. We ask that you read our Responsible Travel and Ethnic Tourism policy in detail before you book your holiday with us, as we expect that you will adhere to our policy and guidelines while traveling with us.

COMPLAINTS 

Should you have a complaint about the trip or tour, make it known to a tour leader or guide at the earliest opportunity, so that s/he may take appropriate actions to resolve it.
